How to migrate an agency from Synthflow to Centerfy: clients, billing, numbers and go-live.

MigrateBy CenterfyUpdated

The short answer

An agency migration from Synthflow comes down to this: list the clients whose billing ran through Synthflow, keep them paying through your own Stripe account while you move, export what Synthflow lets you export, find out where each phone number lives, set up your Centerfy agency workspace with Stripe rebilling, rebuild each client's agent in its own sub-account, then test and switch one client at a time. Nothing forces a deadline. Synthflow is still running your agents, so you can move in order of priority and keep both platforms live until each client is tested.

Before you start: what moves and what does not

There is no button that copies a Synthflow agency into another platform. Synthflow's documentation says a whole subaccount cannot be imported or exported from one agency to another, and Centerfy does not import Synthflow agent files. What you can do is take the parts out and rebuild.

The migration, step by step

  1. List every client and what they pay

In Synthflow, open Settings, Partner, Subscriptions to see which subaccounts were on a pricing plan, and check the same clients in your own Stripe account. For each client write down the monthly price, included minutes, concurrency, whether overage was billed, their phone numbers and the agents they use. Order the list by revenue and call volume; that is the order you will move them in.

  2. Keep them paying while you move

Recreate each client's subscription in your own Stripe account now, at the price they already pay, and set their minute limit in Synthflow's Limits & Capabilities. This is the step Synthflow's own documentation asks for, and it means the migration is not a race against lost revenue.

  3. Export what Synthflow lets you export

For each agent, open Versions and export the published version to JSON. Copy the prompt into a document as well, because that is what you will actually reuse. Collect the source files behind each knowledge base, list each agent's actions, transfer numbers and booking calendars, and export call history to CSV.

  4. Find out where each phone number lives

Numbers bought inside Synthflow live in Synthflow. Numbers connected through Twilio stay in the Twilio account they came from. Numbers on a SIP trunk stay with your carrier. Twilio and Telnyx numbers connect straight to Centerfy; anything else needs a plan. Keeping control of client phone numbers covers each case.

  5. Set up your Centerfy agency workspace

On the White Label plan, add your logo, colours and custom domain under White Label. Connect your own Stripe account in the agency settings, using Stripe test keys first, and connect your GoHighLevel agency if you use one. Set default rebilling rates for new sub-accounts so each client starts correctly priced.

  6. Create a sub-account for each client and rebuild the agent

Create the sub-account with the client's name, email and time zone, and set its limits. Centerfy emails the client an invitation when the sub-account is created, so tell them first. Share the exported prompt, business hours, qualification questions, booking rules and transfer numbers with Centerfy onboarding; the team builds the agent, or you build it yourself in the agent builder. Once one client's setup is right, save it as a snapshot and apply it to the next similar client.

  7. Turn on rebilling for the client

In the sub-account's Billing tab, enable rebilling and enter the monthly plan price and the per-usage rates you charge. From then on Centerfy calculates the usage charges and Stripe collects them into your account. Confirm with onboarding how the client's payment method gets on file before the first billing date, and cancel the temporary subscription from step 2 on the day Centerfy billing starts, so the client is not charged twice.

  8. Test, then switch

Assign a spare number to the agent and run six test calls, checking each in the CRM: a successful booking, no availability, a transfer that is answered, a transfer that is missed, an opt-out and a failed connection. Use Test Outbound Call for anything involving tools, transfers or bookings, because those only run on a real call. When all six land correctly, connect the client's Twilio or Telnyx account in the sub-account, import the live numbers, assign them to the agent and repoint the GoHighLevel workflow steps that start Synthflow calls. Place a real call to each number straight away.

  9. Retire the Synthflow subaccount last

Leave the Synthflow subaccount in place until the client has completed a billing cycle on Centerfy. Synthflow's documentation warns that a deleted subaccount cannot be restored. If you are closing your Synthflow account entirely, read your agreement first: Synthflow says a cancellation takes effect at the end of the current billing period and that Enterprise terms are handled by your account manager.

What Centerfy sets up for you

  • The voice and chat agents, from your existing prompts, with qualification, booking, transfers and SMS follow-up.
  • Twilio or Telnyx numbers imported in each client's sub-account, so callers dial the same number.
  • The GoHighLevel connection: contacts, tags, notes, appointments and the trigger for outbound calls.
  • Test calls with you before traffic moves, and onboarding coaches afterwards.
  • A white-label workspace with client sub-accounts, your branding and usage rebilled at your prices.

Frequently asked questions

Can Centerfy import my Synthflow agents automatically?

No. Synthflow lets you export each agent version to a JSON file, without its actions or knowledge bases, and Centerfy does not read that file. The agent is rebuilt from the prompt and your business details, either by Centerfy's team or by you in the agent builder. In practice the prompt is most of the agent.

Can I move a Synthflow subaccount to another platform?

Not as a unit. Synthflow's documentation says a whole subaccount cannot be imported or exported from one agency to another. You move the parts: prompts, knowledge sources, numbers and billing.

Do I have to move every client at once?

No, and you should not. Synthflow keeps running, so move one client at a time in order of revenue and call volume, and keep the Synthflow subaccount until the client has completed a billing cycle on Centerfy.

Will my clients' phone numbers change?

Not if they are in a Twilio or Telnyx account that you or the client control: Centerfy imports them and callers dial the same number. Numbers bought inside Synthflow are a different case; see the phone numbers guide.

What happens to billing during the move?

Bill each client from your own Stripe account while they are still on Synthflow. When their Centerfy sub-account goes live, switch rebilling on there and cancel the temporary subscription the same day so they are not charged twice.

Do I have to leave GoHighLevel?

No. Centerfy is a standalone CRM that natively integrates with GoHighLevel, and the White Label plan installs into your own GoHighLevel agency, so sub-accounts, calendars and workflows stay. Only the steps that called Synthflow are repointed.

What does the move cost?

Centerfy's standard setup has no separate build fee. You pay the monthly plan plus usage at wholesale rates, as listed in the rate table on this page and on the pricing page. Check your Synthflow agreement for what you owe there if you cancel.

Do I need a developer?

No. Centerfy's team builds the agents and the connections, and the onboarding coach repoints the workflow steps with you. The API, CLI, SDK and MCP server are there if you prefer to script the move; API access is part of the White Label plan.
